Key Responsibilities
As the Project Coordinator, you will support the successful planning, execution, and completion of construction projects by coordinating project activities, maintaining documentation, and facilitating communication between project stakeholders.
Project Coordination & Administration
- Support day-to-day project operations by coordinating activities between project managers, site teams, subcontractors, and suppliers.
- Assist in ensuring projects are executed in accordance with approved drawings, specifications, schedules, and contractual requirements.
- Schedule project meetings, prepare agendas, ensure documentation, and distribute action items to relevant stakeholders.
- Maintain organized project files, records, and documentation to support efficient project execution.
Scheduling & Documentation Management
- Monitor and maintain project schedules, calendars, and progress reports to ensure project milestones are achieved.
- Manage project documentation, including Requests for Information (RFIs), Submittals, Change Orders, and tracking logs.
- Prepare and distribute weekly project status updates while tracking project progress against established timelines.
- Ensure accurate and timely reporting of project activities and documentation.
Financial & Contract Support
- Assist with project budgeting by tracking costs, collecting estimates, and supporting forecast updates.
- Monitor project expenditures and provide administrative support related to financial reporting and cost control.
- Collaborate with project leadership to identify and address potential budget or schedule variances.
- Support procurement and subcontractor coordination activities as required.
Site Coordination & Quality Assurance
- Work closely with field personnel to support daily construction activities and ensure project requirements are met.
- Coordinate with subcontractors and suppliers to maintain quality standards and project compliance.
- Assist in resolving project issues by facilitating communication between stakeholders and escalating concerns when necessary.
- Help ensure all work is completed in accordance with company standards and client expectations.
Health, Safety & Compliance
- Promote and support a culture of safety by ensuring adherence to company health and safety policies and procedures.
- Assist with site compliance initiatives and support ongoing safety documentation and reporting requirements.
- Participate in project reviews and contribute to continuous improvement initiatives that enhance project delivery and operational performance.
Qualifications
To succeed in this role, candidates should demonstrate:
Education & Experience:
- Post-secondary education in Construction Management, Engineering Technology, Civil Engineering, or a related field is considered an asset.
- 2–3 years of experience in a Project Coordinator role within the construction industry is required.
- 5+ years of overall construction industry experience.
- Experience coordinating construction projects and supporting project teams through all stages of project delivery.
- Experience working on water and wastewater infrastructure projects is considered a strong asset.
- Experience supporting projects valued up to $10 million is preferred.
- C.E.T. designation is preferred.
Technical Skills:
- Strong understanding of construction processes, project coordination practices, and industry procedures.
- Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
- Experience using Adobe Acrobat, Bluebeam, and Sage software.
- Ability to interpret construction drawings, specifications, and technical documentation.
- Experience maintaining project schedules, documentation systems, and project tracking tools.
