The Opportunity
As the Administrative Support 5/Executive Assistant, you will provide direct support to the Executive Director in a dynamic and fast-paced ministry environment. Success in this role requires exceptional attention to detail, a commitment to accuracy, and the ability to handle highly sensitive and confidential information with professionalism.
The ideal candidate is solution-oriented, highly skilled at multitasking, and thrives in a fast-paced, deadline-driven environment. Strong independence, advanced proficiency in MS Office, and proven experience working in ARTS within a government setting are essential for success in this role.
Key Responsibilities
As the Administrative Support 5 Assistant, you will be a vital contributor to the daily operations and overall success of the office. Your primary responsibilities include:
- Provide comprehensive administrative support to the Executive Director (ED), including meeting coordination, minute-taking, managing office finances, filing, and IT system onboarding/offboarding. Assist with document creation, reports, and presentations alongside the ED.
- Coordinate travel arrangements and expense reporting for the Executive Director.
- Collaborate with the Division's executive assistant team to support branch and division-wide coordination.
- Oversee file management, including maintaining both paper-based and electronic filing systems, and manage incoming/outgoing mail. Prepare packages for in-person and virtual meetings and committee discussions.
- Manage and support ARTS activities.
- Provide administrative coordination for multiple Ministry and Branch-assigned committees.
- Act as a point of contact for phone, email, and in-person communications with internal and external teams to coordinate information, meetings, and stakeholder interactions.
- Offer backup support to the grant’s administrative assistant for financial reviews and filing with the grants team. Assist the Executive Director with contracts and grants under their authority as needed.
- Manage and monitor branch common email inboxes to ensure efficient communication and organization.
- Oversee office management and day-to-day coordination tasks.
Qualifications
To excel in this role, candidates should possess the following qualifications and skills:
- Experience: 5+ years of relevant executive support experience within the provincial government.
- Technical Proficiency: Advanced expertise in MS Word, Excel, PowerPoint and Outlook. Strong understanding of ART’S and experience with other in house government programs (1GX).
- Meeting Coordination: Proven experience in minute-taking and organizing meetings effectively.
- Attention to Detail: Exceptional accuracy and attention to detail, with strong proofreading and editing capabilities.
- Professionalism: Excellent verbal and written communication skills, with a polished and professional demeanor.
- Positive Attitude: Energetic, approachable, and solution-oriented personality.
- Independence: Strong ability to prioritize and manage a demanding workload with minimal supervision.
